Scope of the General Terms and Conditions
These terms and conditions apply to all communication, quotes, bookings, invoices, and agreements with Sarah Neyrinck or any other project names associated with Sarah Neyrinck, including band concept Sunday Suzy or past projects such as Press Pause.
Non-compliance: In the event that one or more requirements of these general terms and conditions are not met prior to or during the performance, fees will be charged with a minimum of €70 per irregularity, unless otherwise specified in these terms or unless the actual damage is greater. There is no need for prooving any damage.
Special Conditions: Any special conditions agreed upon in writing—for example, via email—shall take precedence over these general terms and conditions.
Organizer Responsibility: As the organizer, you are personally responsible for compliance with these terms. The musician cannot be forced to comply with terms and conditions imposed by another partner (e.g., venue, catering, etc.) if they are incompatible with these terms.
Legal & Copyright Compliance: It is the responsibility of the client to ensure compliance with all legal matters, such as insurance, and regulations regarding copyright and neighboring rights.
1. Booking, Payment, and Cancellation of Bookings
Inquiries and Quotes
Prices are always exclusive of VAT (VAT is usually exempt up until 2026 included and is usually 6% for bookings from 2027), exclusive of travel expenses, and exclusive of a sound system. A quote is valid for two weeks. Dates for events are never guaranteed to be held (placed on option) prior to the final confirmation of the booking and payment of the required deposit.
Booking
When reserving a date for a booking, the provided time and agreed duration of the booking are taken into account. Subsequent changes to the time or duration are only possible in consultation and subject to availability.
Overrun & Extended Play: If, on the day of the booking itself, it becomes apparent that live music is required for a longer duration, this can be arranged in consultation and subject to an additional fee. The client agrees that in the event of a minor delay or overrun of a specific segment (for example, the booked reception), the artist may continue playing without prior consultation and pass on the associated costs.
Delayed Starts: If the booking runs late or starts late (for example, a ceremony) and this causes the artist to be late for a subsequent appointment, the artist may claim flat-rate compensation set at €950.
Consecutive Performances: In principle, the booked segments within one event always take place consecutively (with a maximum break of 30 minutes for relocation). If this is not the case, a waiting fee will be charged.
Setup & Soundcheck Timing: The setup and dismantling of sound system(s)—if provided by us—always take place immediately prior to the start and immediately after our performance, respectively. Similarly, the soundcheck always occurs just before the start of the performance. If the event schedule does not allow for this timing, we can set up and soundcheck earlier, or dismantle later in consultation and subject to a waiting fee.
Payment
A deposit is due at the time of booking.
Deposit Amount: The deposit amounts to 50% of the booking value (excluding travel expenses), plus 100% of the rental costs for sound systems, lighting equipment, or other technical equipment, including their transport and setup costs.
Balance: The remaining balance will be invoiced approximately one month before the booking date.
Late Payment: In the event of late payment, interest of 15% per annum will be charged from the due date, with a minimum fee of €70. Costs for payment reminders will also be charged.
Invoice Adjustments: In the event that invoice details need to be adjusted after issuance, an administrative fee of €45 per invoice will be charged.
Cancellation by the Client
More than 10 months in advance: For cancellations made more than ten months in advance, 50% of the total booking value is due, plus the costs of any work already performed (including rehearsal time, meetings, etc.) or expenses incurred (without the need for proof of these expenses), plus 100% of the rental costs for sound systems, lighting equipment, or other technical equipment, including their transport and setup costs.
Less than 10 months in advance: For cancellations made less than ten months before the booking, the full agreed amount is due, excluding personnel travel expenses, except if costs already had been made for that (e.g. flights, rental cars,...).
Rescheduling: Given the highly specific nature of live performance services and the importance of the scheduled date, rescheduling the date of a booking is considered equivalent to a cancellation. Furthermore, in the event of rescheduling, the rates applicable at that time will apply to the new date.
Force Majeure: Force majeure is interpreted strictly and can only be invoked in highly exceptional cases. We follow the legal definiton of Force majeure. For example: illness or a death in the family are unfortunately not considered force majeure situations. Restrictive government measures in the event of an epidemic are unfortunately no longer exceptional or unexpected. Therefore, a cancellation or rescheduling due to restrictive Covid measures, for example, is not considered a cancellation or rescheduling due to force majeure.
Cancellation by the Musician
The musician may cancel the booking at any time without being required to provide any specific reason. In such cases, we will, of course, help search for a suitable solution or backup and notify you in a timely manner as far as possible. We have access to a large network of professional musicians who are happy to step in at the last minute and we do our best to propose a worthy alternative. There are also several musicians with whom I have been working since 2026 whom I can arrange to replace me.
Under no circumstances shall any compensation or damages be owed by the musician or engaged third parties (subcontractors) to the client if the musician cancels the booking, for whatever reason.
2. Choice of Music
Weddings: For weddings, there are options to choose the songs yourself for the ceremony and first dance, either from the existing repertoire or outside of it, in accordance with the agreed arrangements. The final choice of songs must be submitted according to the deadline provided by the musician. If this is not done on time, additional fees will be charged. Subsequent changes to songs can only be made in consultation and will incur an additional cost to be determined at that time.
Veto Right: The free choice of songs is always subject to mutual agreement. Sarah reserves the right to refuse certain songs.
Exclusivity: In principle, only Sarah Neyrinck and her band members will provide the music during your event, because they are responsible for shaping the musical vibe during the whole event. If you wish to have other musicians or bands during your event, it is important to discuss this beforehand. The same goes for songs that are played through spotify, youtube or any other playlist during the ceremony.
Other Performances: For performances other than ceremonies, Sarah determines the setlist herself and will try to accommodate suggestions as far as possible.
Performance Style: Sarah is primarily a singer and plays piano and guitar solely as accompaniment. Consequently, instrumental tracks (classical pieces, orchestral tracks, etc.) are only limitedly available in her repertoire. During religious ceremonies, Sarah does not sing church hymns or religious interludes that are not part of her repertoire.
Arrangements: Sarah's performance of the chosen songs often differs from the original versions. Adjustments to the structure, length, or lyrics of a song are only possible in consultation and may incur an additional cost.
Background Music: If background music before the ceremony is included in the package, its duration may vary, or Sarah may decide on the spot not to play before the start of the ceremony (for example, if the guests are too far away or if the atmosphere is not suitable).
3. Practical Arrangements
Access, Load in/load out, and Parking
Access: The venue must be accessible for setup and soundcheck starting two hours (sometimes earlier) before the start of the performance. From that moment on, someone must be present at the venue to direct the musician where to set up, answer practical questions, and provide some drinks.
Parking: A legal parking space must be available within 20 meters of the exact performance location for loading, unloading, and parking during the booking. Parking fees, fines, or other costs incurred in the event that illegal parking is the only option will be charged to the client. If parking further away is the only option, this must be discussed beforehand, and additional fees will be charged for the extra time required.
Restrooms: A restroom must be available from the moment of arrival. Please check this in advance, for example, for a church ceremony.
Content & Media
Sarah may take photos and videos of the booking, including but not limited to footage of the venue, the setup, or the performance itself, for use on social media, her website, or other channels. Sometimes, Sarah is assisted by a content creator who is present at the event to capture footage of the event and Sarah's work. The content creator will always respect the positioning of the photographer, videographer and/or content creator of the organizer.
Sharing Material: By booking, you also agree to share with Sarah all the visual material of the day, the full galeries, captured by the hired professionals, for use on social media, her website, and other purposes, with due credit given to the photographer, videographer, or content creator. Sarah is happy to ensure that certain individuals are not recognizably displayed if requested.
Pricing & Media Consent: It is important to keep this in mind. Please let us know if you have other wishes or expectations in this regard. The prices in the quotes always factor in the receipt of all visual material (i.e., not just photos containing Sarah herself) and will therefore differ if you do not wish to share any visual material. Please share this information in advance with your photographer, videographer, and content creator, as this may also be important for them to know.
Food and Drinks
Catering Requirements: For bookings longer than 1.5 hours, we require that still water, tea, and coffee be provided, along with a healthy and substantial main meal (finger foods are not sufficient), either before, during a pause or immediately following the performance. This applies to Sarah, any band members, and other team members (content creators, technicians,...) at the booking. Please consult with Sarah to confirm the exact number of people.
Crew/Assistants: Additionally, one or two assistants may accompany Sarah, who must also be provided with free food and drinks. In such cases, Sarah will inform you of this in a timely manner.
Church Ceremonies: No catering needs to be provided for a church ceremony.
Extreme Heat Adjustment
In the event of extreme heat (a heatwave), it may be necessary to shorten the performance sets or, for example, cancel the background music during the guest reception prior to the ceremony to safeguard the health of the musicians. In such cases, no refund will be possible. The assessment of whether this measure is necessary shall be made freely and exclusively by Sarah herself.
Site Visits
Time and travel costs for a site visit are not standardly included in the prices and packages. This can be arranged upon request, and the additional costs will be provided. A video call is often a perfectly adequate alternative. Furthermore, we are already familiar with many venues.
Rehearsals
Our presence at rehearsals (e.g. the ceremony) is not standardly included, but can happily be arranged when needed.
4. Sound System, Lighting, and Stage
Amplified Music
Venue Restrictions: It is the responsibility of the client to ensure that the venue is aware that there will be live music and that amplified music is permitted, whether played on our own or a rented sound system, and that there is sufficient space to set up the booked configurations (solo, band, etc.).
Amplification: Sarah always plays amplified. Any exceptions to this rule do not constitute grounds for a penalty-free cancellation by the client.
Renting a Sound System from Sarah
Rental Fee: The sound system can be rented from Sarah (price upon request), depending on the booked configuration(s), the venue, an outdoor or indoor setup, and the number of guests. Unless explicitly stated otherwise, the sound system is only intended for up to 120 people and within a single rectangular room or a reasonably sized outdoor area.
Ceremony Mic: A wireless microphone for the ceremony speaker can also be provided.
Power Supply: A power outlet (and extension cord, if applicable) must be provided by the client at each setup location.
Electrical Compliance: The venue's electrical installation to which the sound system is connected must be adequate, compliant with regulations, and properly grounded. No other appliances or equipment may be connected to the sound system's electrical circuit.
Electrical Damage: Damage to the artist's sound system caused by power failures, non-compliant installations, or actions of the client, their guests, or any collaborating partners at the event, will be charged to the client.
Setup/Dismantle Windows: If our own sound system is booked, we will set it up immediately prior to the performance and pack it up immediately after the performance. This also applies to the soundcheck. If, due to practical reasons or the event timeline, this is not possible and setup must occur earlier or dismantling can only happen later, this must be communicated at the time of booking, and we will charge waiting time fees. If the sound system is provided for our full band or trio formula, this is typically handled by our regular rental partner, and the timing of setup and dismantling will be coordinated in consultation.
Lifting Assistance: In exceptional cases, Sarah may require assistance with setting up and dismantling her sound system. This involves loading and unloading the equipment from the car to the performance area and vice versa, as well as any relocations in between. In this case, the client must ensure that someone is available for 10 minutes twice (at the beginning and end of each live music segment) to help. Sarah will indicate in a timely manner whether this is necessary for the specific booking.
Ground Floor Only: Sound systems will only be set up on ground floor locations. If stairs are involved or the setup location is on another floor, additional fees will be charged. Similarly, if it is not possible to park within 20 meters of the setup location(s), charges will be applied for the additional setup time.
Stage & Lights: A stage and lighting system are not mandatory, but are highly recommended for a professional appearance and to add that extra touch that helps define the atmosphere when our trio formula or full band is booked. These elements and any extras can be arranged through us via our external partner, who will ensure a perfect setup of all equipment.
Band Setup Restrictions: If the sound system for the band (trio and larger) is sourced through us, it is not possible to have the stage and/or lighting system provided by yourself or another partner, as the sound system is built onto the stage and is set up in coordination with the lighting setup.
Sound System Requirements (If Provided by the Client)
If the sound system is provided by the client, the following requirements apply, and the system must be available starting one and a half hours (sometimes earlier, as specified by Sarah) before the start of the live music, along with a qualified sound technician (specific for mixing live music). These requirements apply to the solo setup. If multiple band members are booked, different requirements apply, and a technical rider can be provided upon request.
PA system with two or more speakers (left and right on stands/height), sufficiently powerful for the venue and number of guests, or equivalent and of high quality.
Monitor speaker.
Mixing console with at least 5 channels and an additional stereo output for Sarah to use (in addition to the front of house and monitor).
Three power outlets.
Shure SM58 Beta microphone.
Collapsible microphone stand.
Low chair (ceremony) or high stool (reception).
1x or 2x DI boxes (for piano and gitaar).
All necessary cabling.
Fully set up, with a technician present to operate the system.
Please note: A built-in sound system in a church is never compliant with the requirements for live music. For other types of built-in systems, we are happy to assess whether they meet our live music requirements. We only settle for the best sound quality! If only a portion of the above-mentioned items can be provided, I am happy to see if I can integrate with them and determine what the additional cost would be.
Sound Technician
For our trio and full band configurations, we use in-ear monitors to play comfortably and protect our hearing. Consequently, we do not entrust this setup to any technicians other than our regular partner. Therefore, our regular sound technician is booked as standard for these performances.
Equipment, Setup Environment and practical
Seating: A comfortable chair without armrests must be provided for the musician at each location where she is to perform: a low chair for a ceremony and a high stool with a footrest for other setups.
Surface: The ground surface where Sarah performs must be dry, stable (level), and clean. If necessary, a suitable surface cover must be provided (carpet, wooden platform/decking, etc.).
Weather & Rain Protection: Sarah's instruments, sheet music tablet, and sound system cannot withstand rain or heat.
In the event of a risk of rain, Sarah cannot set up outdoors unless she is under a canopy or tent that is large enough to protect against driving rain. Please note: This refers to the risk of rain, not just active rain showers. Equipment is often set up hours before without the possibility of packing it up between performances (e.g., ceremony setting, reception setting). Therefore, the forecast for the entire day must be taken into account. The musician always makes this decision herself and reserves the right to choose not to set up the equipment if adequate shelter is not provided.
Heat Protection: The same applies to heat. In excessively hot weather, Sarah's equipment cannot be set up in direct sunlight or in a hot area (e.g., a greenhouse) due to the risk of overheating. Direct, intense sunlight also causes the piano's display/sensors to fail. Therefore, please ensure adequate shade (such as a parasol) on sunny days from April through October.
6. Bookings Abroad
Unless specified otherwise in the quote or email correspondence, rates provided for bookings abroad are strictly exclusive of all additional expenses, such as:
Flights, all travel expenses (both domestic and international) to and from airports, public transport costs, taxis, car-sharing services, Uber, rental cars, fuel, tolls, road vignettes, corresponding insurances, and parking fees (airport or accommodation).
Accommodation costs and meals.
Sound systems and instruments.
Meals: Meals during performance day(s) must be provided on-site by the client. Other meals for the duration of the stay will be charged, either as a flat daily rate (per diem) if communicated beforehand, or by passing on the actual meal costs.
Flights: Flights will be booked and freely chosen by Sarah, taking into account airport locations as they fit into her schedule. Flights are always booked with cancellation insurance.
Rental Cars: Rental cars are always booked with full coverage, and we opt for comfort models to ensure all our instruments fit into the vehicles.
Instruments: If guitars, cymbals or other instruments are flown in for Sarah or her band members, Sarah will decide whether they can be checked into the hold or if an extra seat is required for the instruments. Sarah will also make the choice whether to fly in own instruments or parts of it, or to rent them through a backline service. This service is either arranged by Sarah herself, or by the organizer, as discussed.
Luggage Damage/Loss: Any damage to or loss of luggage or transported instruments will be charged to the client for the part not reimbursed by the airline or insurance.
7. Events (Community, Workshops, Coaching, etc.) Organized by Sarah
Registration, Payment, and Cancellation
Payment: Payment for your participation in or attendance at an event organized by Sarah is always due at the time of registration. An invoice for your participation will be made available to you once you have filled in the correct details. Modifying these details or requesting the invoice at a later date will incur an administrative fee.
Cancellation: In the event of cancellation of your participation or absence from an event, the full registration fee remains due, regardless of the reason. If you are unable to attend, you are permitted to transfer your ticket to a colleague, subject to prior consultation with Sarah given the specific nature of certain events.
The Program
Indicative Program: All information provided in prior communications, on the landing page, or via email regarding the event, its program, scheduled speakers, colleagues, etc., is indicative only. Any changes to these details do not entitle you to a penalty-free cancellation of your participation.
Event Cancellation: In the event of insufficient registrations or for any other reason, Sarah may decide to cancel the event. In such cases, the registration fee will, of course, be fully refunded. Sarah will notify you of this in a timely manner.
